Property and Estate Management

  • Oversee all daily household operations to ensure the home functions smoothly, efficiently, and to impeccable standards

  • Conduct regular walk-throughs of the residence and grounds to proactively identify maintenance needs, safety concerns, and presentation standards

  • Remaining familiar with the mechanical systems of the home, including elevator operation, alarm systems, multiple HVAC zones, pool operations, smart home systems, and more

  • Oversee and execute minor repairs personally when appropriate; coordinate maintenance and repairs as needed; handle urgent/emergency situations

  • Ensure all mechanical systems (HVAC, plumbing, security, etc.) are routinely serviced and function properly

  • Develop and maintain detailed household manuals for property, updating protocols and procedures as needed

  • Ensure seamless transitions during property changes and moves

  • Oversee holiday décor planning, organizing, and installation

Staff and Personnel Management

  • Develop and manage staff schedules, coverage, time-off coordination, and workflow priorities

  • Source, schedule, and oversee all household vendors, service professionals, contractors, and maintenance providers

  • Negotiate service contracts and maintain a detailed log of all vendor activity

  • Ensure vendors are adhering to quality expectations, timelines, and budget agreements

  • Maintain strong relationships with preferred vendors and ensure quality control of all completed work

  • Manage confidential calendars for family and staff

  • Child and pet care coordination as needed

Financial Management

  • Track and manage property-related budgets and expenses; review invoices, monitor spending, and provide monthly reporting

  • Maintain inventory, procurement, and supply orders

Logistics and Operations

  • Maintaining daily communication with the employer regarding meal planning, upcoming events, travel schedules, and overall household needs

  • Oversee household inventory and procurement of supplies, including cleaning products, household essentials, pantry items, and specialty requests

  • Manage special projects such as renovations, seasonal openings/closings, or relocations

  • Manage all vehicle-related needs, including routine maintenance, detailing, inspections, service appointments, and registration renewals

  • Oversee deliveries, package management, and household organization systems

Event and Travel Planning

  • Assisting with the planning and execution of family dinners, holidays, fundraisers, book clubs, and other social gatherings

  • Coordinating event setup, breakdown, and overall flow, including assisting with logistics and security for larger functions

  • Assist with travel arrangements, including booking flights, accommodation, and transportation

  • Anticipate travel needs and ensure logistics are in place (pet sitters, mail holds, deliveries paused, etc.) prior to travel

Security and Confidentiality

  • Support high-profile individuals with strict confidentiality

  • Ensure household safety and security protocols are adhered to

  • Handle correspondence and communication with discretion
